SCOPE OF WORK: The Donor Care Assistant plays a critical role in strengthening donor relationships and growing sustainable fundraising revenue for Habitat for Humanity Windsor-Essex. This position is responsible for outbound donor engagement, monthly donor development, and grant prospect research.

This is a six-month contract position, with flexibility for full-time or part-time hours, and may be completed remotely. The role requires a high level of comfort working on the phone and a strong commitment to delivering an exceptional donor experience.

The Donor Care Assistant works closely with the Director of Community Outreach to support donor engagement strategies, scheduling of donor meetings, and research that informs fundraising growth.

 

REPORTS TO: Director of Community Outreach

SCOPE OF AUTHORITY

  • Acts as a front-line representative of Habitat for Humanity Windsor-Essex in donor communications

  • Engages donors and prospective donors by phone for stewardship and monthly giving conversations

  • Accesses donor management systems to record interactions and outcomes

  • Supports scheduling and coordination of donor meetings for senior leadership

  • Conducts grant prospect research to support fundraising planning

  • Works within established fundraising policies, procedures, and ethical standards

 

DESIRED EXPERIENCE

The Donor Care Assistant will have:

  • A minimum of 1 year of experience in fundraising and donor relations

  • Demonstrated success in securing monthly donations or recurring commitments

  • Exceptional comfort and confidence working extensively on the phone

  • Strong verbal communication, listening, and persuasion skills

  • Proficiency with Microsoft Office and online research tools

  • Ability to work independently in a remote environment while staying connected to a team

  • Experience using donor management software is an asset (Better Impact, Raiser’s Edge, DonorPerfect, or similar)

 

DUTIES & RESPONSIBILITIES

Donor Stewardship & Engagement

  • Make outbound calls to donors and prospective donors to acknowledge gifts and thank supporters

  • Build rapport and strengthen relationships with donors through meaningful conversations

  • Conduct follow-up calls to convert one-time donors into monthly donors

  • Clearly articulate Habitat’s mission, impact, and giving opportunities

  • Respond to donor questions and concerns with professionalism and care

 

Monthly Giving Growth

  • Promote monthly giving as a meaningful and accessible way to support Habitat’s mission

  • Track monthly donor conversions and outcomes

  • Support retention of monthly donors through follow-up and appreciation calls

 

Grant Research & Fund Development Support

  • Research potential grant opportunities from foundations, corporations, service clubs, and government sources

  • Identify grant prospects aligned with Habitat for Humanity Windsor-Essex’s mission and current priorities

  • Compile grant research summaries, deadlines, eligibility criteria, and funding priorities

  • Support the CEO and Director of Community Outreach by maintaining a grant opportunity tracker

  • Assist with gathering background information and supporting documentation for grant applications (as required)

 

Administrative & Scheduling Support

  • Assist the CEO and Director of Community Outreach with scheduling in-person donor meetings

  • Maintain accurate and timely donor records, call notes, and follow-up actions in the donor database

  • Flag high-potential donors and grant opportunities for senior leadership follow-up

 

Data Integrity & Reporting

  • Ensure all donor and grant research activities are accurately recorded

  • Support reporting on donor engagement, monthly giving metrics, and grant research activity

  • Follow all privacy, confidentiality, and data-protection protocols

 

CUSTOMER SERVICE & ETHICS

  • Deliver exceptional donor care aligned with Habitat for Humanity’s values

  • Maintain confidentiality of donor and prospect information at all times

  • Ensure fundraising practices align with AFP Code of Ethics

  • Communicate in a respectful, clear, and timely manner

  • Represent Habitat for Humanity Windsor-Essex with professionalism and integrity

 

ADDITIONAL RESPONSIBILITIES

  • Assist with other fundraising-related tasks as assigned by the Director of Community Outreach or CEO
